Roles and Responsibilities

Volunteers are an essential and valued part of C2U GOSPORT CIC. We appreciate that you have chosen to volunteer with us. We will do our best to make your volunteer experience enjoyable and rewarding. We aim to be flexible and supportive. We believe that the volunteer relationship is built on trust and mutual understanding.

Founder/Trustee

• Developing and maintaining the organisation's vision, mission statement, and strategic plan

• Setting up systems and procedures to ensure the organisation's success

• Reviewing financial statements and other reports to assess the organisation's performance

• Managing day-to-day operations

• Being the organisation's public face

• Having appropriate insurance.

• Agree on volunteers' roles and ensure the use or introduction of volunteer agreements.

Treasurer/Trustee

• Oversee the organisation's financial affairs and ensure they are legal, constitutional, and within an accepted accounting practice.

• Ensure records are kept and that effective financial procedures are in place.

• Monitor and report on the financial health of the organisation.

• Produce financial reports/returns, accounts, and audits.

• To count daily donations and record them in financial logs to ensure transparency.

• Organising fundraising efforts and securing funding as needed

Volunteer – Mental Wellbeing

• Reduce loneliness and isolation by showing that someone cares.

• Give someone a chance to talk about their hopes and needs.

• Offer emotional support by listening, asking questions and showing encouragement and support.

• Offer encouragement for goal-oriented action.

• Signpost to other services and activities in the community.

Volunteer – Foodbank / Bric-a-Brac

• Responsible for assisting service users and distributing food.

• Implement and maintain good food hygiene standards.

• Maintain storage spaces and keep all areas clean and organised.

• Maintain good communication and interpersonal skills when engaging with service users and demonstrate empathy.

• To hand donations to the Treasurer or named supervisor, to be counted and recorded into the log, to maintain transparency in account recording.

• Once food has been sorted and set up, you can start a bric-a-brac set-up.

• Use additional boards to extend the table area.

• All donations must be directed to Sandra or Gary. Sandra introduced the bric-a-brac element, and to that end is Sandra's baby!

• Donations tubs are to be secured to the table and handed to Sandra at the end of the shift.

Volunteer – Health and Safety / Maintenance

• Ensure all volunteers are aware of their health and safety responsibilities.

• Carrying out a risk assessment

• Informing volunteers of identified risks/hazards

• Maintain first aid box and ensure accidents are recorded

Volunteer - Food Services

• Water urn to be kept topped up

• Wipe down all surfaces with Anti-bac, including under the equipment.

• Empty rubbish bin

• Hoover breakout area and all skirtings

• Ensure the kitchen is kept clean and tidy.

• Ensure toilet area is clean and tidy, including window seal (use gloves provided)

• Floors are to be bleached three times a week – Monday, Wednesday, and Friday.

• Donations tubs are to be handed to Sandra at the end of the shift.

Volunteer – Reception / Front of House

• Keep the appointment book up to date.

• Ensure everyone signs in / signs out.

• Wipe down all surfaces with Anti-bac (NOT fish tank)

• Empty rubbish bin

• Hoover through up to the ramp

• Wipe down leather chairs.

• Ensure there are spare Sign-in Sheets.

• Phones are not to be in the reception area.

• Ensure the open/close sign is in the correct position.

• Ensure that service users are signed in and aware of emergency procedures in case of a fire or need to evacuate the building.

All volunteers are responsible for:

• Signing in and out of the premises

• To ensure all service users feel welcome at C2U GOSPORT CIC.

• To always remain professional

• Personal belongings are to be stored in lockers provided by C2U GOSPORT CIC.

• Ensuring hazards are reported to the Health and Safety Volunteer or Managing Director immediately.
